Privacy Policy

Freehold Home Systems LLC ("Freehold," "we," "us") tests, sells and services residential water treatment in North Idaho and the Spokane area. This policy explains what we collect through freeholdhome.com, our phone line and our email, what we do with it, and the choices you have.
What we collect
What you give us. When you fill out a form, take the water check or book a consultation, we collect your name and phone number, your email if you give it, your ZIP code or property address, whether your home is on a well or city water, and anything you tell us about your water. If you check the consent box, we also keep a record of that consent: the exact wording you saw, the date and time, the page, your IP address and your browser type.
When you become a customer. If you order a water assessment or a system, we also keep your property address, your lab results, the system we install, your service plan and your billing records. When you pay online, the payment provider processes your card. We never see or store full card numbers.
Calls. Calls on (208) 262-3875 may be recorded, and the line announces it. We use recordings to confirm what was said and to train our own team.
On our website. Our site keeps a small note in your browser (local storage, not a cookie) of how you first arrived: the page you landed on, the site that sent you, and any campaign tags in the link. It reaches us only if you send a form, so we can tell which pages and ads bring people in. Cloudflare, which hosts the site, handles technical data such as IP addresses to deliver and protect it. Our pages load fonts from Google Fonts, which receives your IP address to send them. We use Cloudflare Web Analytics to count visits and see which pages people read. Cloudflare states that it does not collect or use visitors' personal data. We do not run advertising cookies or any other third-party analytics. If that changes, we will update this policy first.
Bot protection
Our forms use Cloudflare Turnstile to tell people from bots. Turnstile works in the background and may collect information about your browser and device to do that. Its use is covered by Cloudflare's Turnstile Privacy Addendum.
How we use it
- To answer your request, schedule your consultation and follow up on it.
- To arrange your water test, prepare your recommendation, install your system and service it.
- To call, text or email you about your water, with your consent where the law requires it.
- To keep the records we must keep, including proof of consent.
- To protect our forms and our customers from fraud and spam.
- To see which pages people use, so we can make the site more useful.
Water test results stay with your file and are shared only as described below. We may also use results with your name and street address removed, combined with other results, to describe water quality by area, for example how common hard water is in a ZIP code. No one can be identified from those summaries.
Who we share it with
We do not sell your personal information. We share it only with the companies that help us do the work, and only what each one needs:
- Certified labs that test your water: your name, the sample address and the sample.
- Licensed installers we hire to install your system: your name, address, phone number and the job details. They work under a contract with us and may not use your information for anything else.
- Service providers that run our systems: our customer records and scheduling software (HighLevel), our email and phone services, website hosting, bot protection and visit counts (Cloudflare), and, when you pay or finance, the payment or financing provider you choose.
- Anyone the law requires us to share it with, or when needed to protect the rights and safety of our customers, the public or Freehold.
- A buyer of our business, who must honor this policy for the information it receives.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third party.
Texts and calls
We text or call your phone with automated technology only if you gave consent, for example by checking the box on our forms. Consent is not a condition of purchase. Message and data rates may apply, and message frequency varies. Reply STOP to any text to opt out, reply HELP for help, or call (208) 262-3875. Every marketing email has an unsubscribe link.
How long we keep it
We keep lead and customer records while you are a prospect or customer and for 3 years after our last contact with you, longer where a contract or the law requires it. We keep consent and opt-out records for 5 years so we can show what you agreed to. Submissions our systems identify as spam are deleted after 30 days.
Your choices
You can ask us what information we hold about you, and ask us to correct or delete it. You can withdraw consent at any time. Email legal@freeholdhome.com or call (208) 262-3875, and we will respond within 30 days. Some records we have to keep, such as consent and opt-out records and records a contract or the law requires, and we will tell you when that applies.
Security
We limit access to our systems to the people who need it and protect it with strong passwords. No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.
Children
Our services are for homeowners. We do not knowingly collect information from anyone under 18.
Changes
If we change this policy, we will post the new version here with a new date. If a change is significant, we will also tell our customers by email.
